Instructions on how to use Google Calendar to reserve BEML microscopes

 

If you expect you will need help during your session on the microscopes, please contact BEML staff before reserving a time slot on the calendar.

 

To reserve a time slot on the microscope:

  1. Log on to Google Calendar using the email address you provided to the BEML staff.  The shared microscope calendar will show up at the left hand side under “Other calendars”.  You can toggle this calendar on or off by clicking the box at the left, or you can choose to view only this calendar by selecting that option from the drop-down menu on the right end of the microscope calendar.
  2. Click on the time slot you want to reserve.  When the pop-up menu appears, click on “MORE OPTIONS”.
  3. Put in your full name in the event field (you can also put in the microscope name for your own reminder purposes).
  4. Choose the starting time and ending time of your reservation.
  5. Leave the drop-down menu of the calendar choice to be your own calendar. You cannot edit this event from the microscope calendar directly, as you are only given the “view details” access to the microscope calendar.
  6. In the “Add guests” field, type in the email address of the microscope you want to reserve (which will be provided by the BEML staff upon completion of the microscope training). Click on “Add”. (To save time, you can add the email address of the microscope into your gmail contact, then you just need to type “b” and choose from the auto-fill box).
  7. Click on “SAVE” at the top of the dialog window.
  8. Click on “Send” from the “Would you like to send invitations to guests?” pop-up box.
  9. If you logged into Google Calendar using your UCONN email account, choose “Invite external guests” from the pop-up dialog box. If you logged into Google Calendar using your personal gmail account, this pop-up dialog box will not show up and you can skip this step.
  10. The microscope calendar will automatically accept your invitations; Make sure you can see your reserved time-slot in the microscope calendar now.
  11. You should also see an identical calendar event in your own calendar next to the event in microscope calendar, which is your own reminder.

 

To modify or cancel your time slot on the microscope:

You can modify or delete the event on your own calendar, which is identical to your reserved time slot on the microscope calendar. Make sure to send an update/notification to the guest when asked by pop-up dialog after you modify or cancel the event on your own calendar so that the event on the microscope calendar will be updated.

 

Note: Faculty/Staff with exchange UCONN accounts can use their exchange account to log into Google Calendar and other Google apps after the account is registered at google.uconn.edu (click on “Create Faculty/Staff Account”).
